Team & roles

Refillops roles are designed around real pharmacy work. The smallest useful role keeps the audit log clean and reduces accidental changes.

When to use this

  • Inviting a new team member.
  • Auditing who can change what during a compliance review.
  • Restructuring after a hire or a role change.

Step by step

  1. 1

    Owner

    Full access including billing, organization deletion, and ownership transfer. Usually the pharmacy owner or managing pharmacist. One owner per organization.

  2. 2

    Admin

    Manages team, locations, integrations, and settings. Cannot delete the organization or change billing.

  3. 3

    Pharmacist

    Full workflow access — Blocked Queue, Claims, Prior Auths, Patient Updates, Inventory Watch. Can approve and send patient updates and prescriber messages.

  4. 4

    Technician

    Full workflow access for triage, drafting, and follow-up. Can draft patient updates but a Pharmacist or Admin must review and send when the message requires pharmacist judgment.

  5. 5

    Billing

    Access to plans, invoices, payment method, and billing contact only. No access to patient workflow data.

  6. 6

    Viewer

    Read-only access to the workspace for managers, auditors, or short-term consultants. Cannot edit issues or send messages.

Common mistakes

  • Giving every new hire Admin.
  • Using a shared login instead of issuing individual invites — this breaks the audit log.
  • Forgetting to downgrade a role when someone changes job function.
