Terms of Service

These Terms govern your access to and use of Refillops, operated by RefillopsAI, Inc.

Section 01

Agreement to terms

By creating an account, signing in, or otherwise accessing Refillops, you agree to these Terms of Service ("Terms") on behalf of yourself and the organization you represent. If you do not agree, do not use the service. If you accept these Terms on behalf of an organization, you confirm that you have authority to do so and that the organization is bound to them.

Section 02

Service description

Refillops is hosted workflow software for pharmacy teams. It organizes refill requests, rejected claims, prior authorization follow-ups, prescriber messages, patient updates, and inventory blockers so a counter team can clear them. Refillops is not a pharmacy management system, an e-prescribing system, an electronic health record, an insurance portal, or a source of clinical, dispensing, coverage, or billing decisions.

Section 03

Account responsibilities

You are responsible for activity that happens under your account, for keeping your credentials secure, and for promptly notifying us if you suspect unauthorized access. Workspace admins are responsible for inviting only authorized members, assigning appropriate roles, and removing access when staff leave.

You must provide accurate account information and keep it current. Sharing a single account between people is not permitted. Use named accounts per teammate.

Section 04

Pharmacy workflow responsibility

Your pharmacy remains responsible for its operations and for the workflow decisions made using Refillops. That includes whether and when to contact a prescriber, what to say to a patient, whether to dispense, when to bill, how to handle a rejected claim, and how to escalate a prior authorization. A trained team member must review queue items, drafts, and recommendations before acting on them.

Section 05

Not a clinical or coverage decision system

Refillops does not make clinical, medical, dispensing, billing, insurance, or coverage decisions. Outputs are workflow support only. They must not be presented to patients, prescribers, or payers as approvals, denials, clinical advice, or coverage determinations. Final responsibility for any pharmacy action stays with the licensed professional who acts on it.

Section 06

Your content and ownership

You retain ownership of the workflow data, notes, drafts, files, and other content that you or your team enter into Refillops ("Your Content"). You grant RefillopsAI, Inc the limited right to host, store, process, transmit, and display Your Content as needed to provide the service, support your team, and meet our legal obligations. We do not sell Your Content and we do not use it to train external AI models.

Section 07

Acceptable use

Your use of Refillops is subject to our Acceptable Use Policy, which is incorporated into these Terms by reference. Violations of the AUP are a breach of these Terms.

Section 08

Subscriptions, billing, and cancellation

Paid plans are billed in advance on a recurring basis according to the cadence shown at checkout (typically monthly). Fees are non-refundable except as described in the Return & Refund Policy. You can cancel your subscription any time from account settings; access continues until the end of the current billing period and no further charges are made.

We may change pricing for future billing periods. Changes are communicated to workspace admins in advance and apply at the next renewal. If you exceed plan limits (for example, locations), we will contact you to move you to the appropriate tier with pro-ration; we will not introduce surprise mid-cycle fees.

Section 09

Refunds

Refunds are governed by our Return & Refund Policy. In summary, you can request a full refund within 30 days of your first paid invoice by contacting support@refillops.co.

Section 10

Intelligence outputs and limitations

Refillops generates drafts and summaries from the workflow data your team enters. Outputs may be incomplete, inaccurate, outdated, or otherwise unsuitable for a given situation. You must review every draft, suggestion, and summary before acting on it.

Outputs are not medical, clinical, pharmacy, legal, billing, tax, or coverage advice. They are not a substitute for the judgment of a licensed pharmacist, prescriber, biller, or other qualified professional. Do not rely on outputs as approvals, denials, or coverage determinations.

Section 11

Product availability and changes

We work to keep Refillops available, but we do not guarantee uninterrupted access. We may add, change, or remove features, perform maintenance, or impose reasonable limits to keep the service stable. Significant changes that affect how core workflows work will be communicated to workspace admins.

Section 12

Third-party services

Refillops relies on third-party vendors for hosting, authentication, email delivery, payments, and (when consented to) analytics. Those vendors are listed in our Privacy Policy. We are not responsible for third-party services or content that you choose to connect to the product outside the ones we provide.

Section 13

Termination

You may stop using Refillops at any time by canceling your subscription and, if you wish, deleting your account. We may suspend or terminate access if you breach these Terms, violate the Acceptable Use Policy, fail to pay, or create a security or legal risk for the service or other customers. We will provide reasonable notice when practical. After termination, the retention rules in our Privacy Policy apply.

Section 14

Disclaimers

To the maximum extent permitted by law, Refillops is provided "as is" and "as available" without warranties of any kind, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation. RefillopsAI, Inc does not warrant that the service will meet your specific requirements or that intelligence outputs will be accurate or complete.

Section 15

Limitation of liability

To the maximum extent permitted by law, in no event will RefillopsAI, Inc, its affiliates, or its suppliers be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, goodwill, or business opportunity, arising out of or related to the service, even if advised of the possibility of such damages. Our total liability for any claim arising out of or related to the service will not exceed the amount you paid RefillopsAI, Inc for the service in the twelve months preceding the event giving rise to the claim.

Section 16

Indemnity

You will defend, indemnify, and hold harmless RefillopsAI, Inc and its officers, employees, and contractors from and against any third-party claims, damages, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to (a) your use of the service, (b) Your Content, (c) your violation of these Terms or the Acceptable Use Policy, or (d) your violation of any applicable law or the rights of a third party.

Section 17

Governing law and disputes

These Terms are governed by the laws of the State of Tennessee, United States, without regard to conflict-of-laws principles. The state and federal courts located in State of Tennessee, United States will have exclusive jurisdiction over any dispute arising out of or related to these Terms or the service, and you consent to personal jurisdiction in those courts.

Section 18

Changes to these Terms

We may update these Terms as the service evolves. Material changes will be communicated to workspace admins in-product or by email before they take effect. Continued use of the service after changes take effect constitutes acceptance.
